Scoping switches.

Narrow what Dedicated Experts, Team Managers and Sales can see to their own clients, projects and accounts, and let individuals focus their own view.

Out of the box, everyone with a managing role sees the whole workspace. That suits a small studio where everyone works on everything. As you grow, you may want account leads to see only their own clients. Scoping switches do that, one role at a time.

The three switches

Owners and admins find the switches at the top of Settings → Clients. Each one uses your workspace’s name for the role.

When a switch is off, its card reads “Off. Anyone holding the role sees the whole workspace, like every other managing role.” Flip it and the change applies to everyone with that role straight away.

Turn on scoped access

  1. Go to Settings → Clients.
  2. Flip the switch for the role you want to narrow.
  3. Make sure the right people are assigned, so nobody loses sight of work they need (see below).

Assigning people to clients

With Dedicated Expert or Sales scoping on, each client row in Settings → Clients shows a Client access line: the people who can see that client.

  • The Dedicated Expert named on the client (in Edit) always has access.
  • Use Add… to give more experts or sales members access to the client.
  • Owners and admins can add and remove people. An expert who already has access can add a colleague (handy for hand-offs) but can’t remove anyone.
  • Sales members get access to the clients they create automatically.

With both of those switches off, the line simply says that scoped access is off and everyone with a managing role can see the client.

Assigning Team Managers to projects

Team Manager scoping follows projects, not clients. Name the Team Manager on each project, either when you create it or later from the project. See Projects.

Focus on my clients

Not every studio wants to enforce scoping. Dedicated Experts and Team Managers can narrow their own view instead, from Settings → Your profile → Focus on my clients.

  • It shows only the clients, projects and tasks where that person is the Dedicated Expert (or Team Manager).
  • It’s a personal view preference. It doesn’t change what anyone else sees, and they can turn it off any time.
  • When the workspace already scopes their role, the switch shows as on and can’t be turned off.

Good to know

  • Owners and admins are never scoped. They always see everything.
  • Production crew are always scoped to the tasks they are assigned to. No switch is needed.
  • Clients only ever see their own organization. That is built in and can’t be changed.
  • Roles add up. Someone who holds a scoped role and also an unscoped one (for example, Admin or Finance) keeps everything their other role can see.
