Connect QuickBooks Online and push sent client invoices into it with one click, customer and line items included, so your bookkeeper never retypes an invoice.

If your books live in QuickBooks Online, UpRush can create your client invoices there for you. You keep running billing in UpRush (building, sending, chasing) and push each invoice to QuickBooks when it is final. The sync is one way: UpRush to QuickBooks.

Connect your company

  1. Go to Settings → Integrations and find the QuickBooks Online card.
  2. Choose Connect QuickBooks.
  3. Sign in to Intuit and pick the QuickBooks company to connect, then approve access.
  4. You land back in UpRush with “QuickBooks connected”. The card now shows Connected, the company name, its company ID and the date it was connected.

Only Owners and Admins can connect or disconnect QuickBooks. If the connection stops working (for example an expired authorization), the card shows Needs attention with a Reconnect QuickBooks button.

Push one invoice

  1. Open a sent, partly paid or paid invoice. (On a draft, the button explains: “Send the invoice first. Drafts don’t sync to QuickBooks.”)
  2. Choose Create in QuickBooks.
  3. The invoice is queued and a chip shows its progress: Queued for QuickBooks, then Creating in QuickBooks. If QuickBooks is slow to respond you may see QuickBooks push retrying; UpRush keeps trying on its own.
  4. When it lands, the button becomes View in QuickBooks, which opens the invoice in QuickBooks.

If you see QuickBooks push failed, check the connection in Settings → Integrations (reconnect if it needs attention) and try again.

Push several invoices

  1. In Billing → Invoices, select up to 10 sent invoices.
  2. Choose Create in QuickBooks in the bulk bar and confirm.
  3. A results view shows what happened to each invoice. Invoices already in QuickBooks are skipped, and any that failed stay selected so you can retry them.

Invoices that are already in QuickBooks show a small QB pill in the invoice list.

Payments and QuickBooks

Payments are not sent to QuickBooks. Record each payment in UpRush with Record payment (that keeps your UpRush statuses, dashboards and the client’s portal accurate), and record or match it in QuickBooks as you normally would. See Recording payments.

Disconnect

Choose Disconnect on the QuickBooks card and confirm. New invoices can’t sync until you reconnect. Invoices already created in QuickBooks stay there untouched.
