Recording payments.

Clients pay you outside UpRush. Log each payment with Record payment, singly or in a batch, and invoice statuses, balances and dashboards update on their own.

UpRush does not process payments. Your clients pay you by wire, card, PayPal, check or however you normally get paid, and you record that money against the invoice. Recording is what moves an invoice to Partly paid or Paid, clears it from overdue, and feeds every received, collected and outstanding figure in the product.

Record a payment on one invoice

  1. Open the invoice (from Billing → Invoices, a client’s billing page, or the project’s Money tab).
  2. Choose Record payment. The dialog shows how much is outstanding.
  3. Check the Amount. It is prefilled with the full balance; change it if the client paid part.
  4. Set Received on, the date the money arrived. It defaults to today.
  5. Optionally fill Method (Wire, card, PayPal…) and Reference (a transfer id, check number, anything that helps you reconcile).
  6. Choose to save. You’ll see “Payment recorded”.

Partial payments are fine. Record each one as it arrives: the invoice shows Partly paid with the remaining balance until payments cover the total, then flips to Paid by itself. You never set these statuses by hand.

Record several payments at once

When a client settles a batch of invoices in one transfer, record them together:

  1. In Billing → Invoices, select the invoices with their checkboxes.
  2. Choose Record payment in the bulk bar. The dialog title reads, for example, Record 3 payments.
  3. Each row shows the invoice, its Balance and an Amount prefilled with that balance. Adjust any amount.
  4. Set Received on, Method and Reference once; they apply to the whole batch.
  5. Save. If any row doesn’t go through, a Payment results view tells you what happened to each invoice so you can retry just those.

Correct a mistake

Recorded the wrong amount or the wrong invoice? On the invoice, find the payment in its payment list and use the trash icon to remove it, then confirm Remove payment. The balance and status are recalculated immediately, so a Paid invoice goes back to Partly paid or Sent as the numbers dictate. Then record the correct payment.

Paid invoices can’t be voided or deleted; they are part of your books. To undo a paid invoice, remove the payments first.

Where payments show up

  • The invoice itself: a payment list with date, amount, method and reference, and the running balance.
  • The project’s Money tab: Paid and Outstanding, plus the payment progress bar.
  • Billing → Overview: Received, Outstanding, Overdue and the Recent payments list. See Insights and dashboards.

  • The client’s portal Money page: their Paid and Balance due figures update as you record. See The portal’s Money page.
  • QuickBooks, if connected, does not receive payments from UpRush; record them there too if you keep books in QuickBooks. See QuickBooks.
