Projects.
A project groups related tasks under one client engagement (or your studio's own work), with its own status, dates, value and files.
Tasks are where the work happens. Projects are how you keep a run of tasks together: a launch campaign, a rebrand, a season of social content. A project belongs to one client (or to your studio, for internal work), carries a status of its own, and rolls up progress, dates, money and files from every task inside it.
Create a project
- Open Projects in the dock and select New project.
- Choose where it starts: Client for client work, or Internal for your studio's own work. Pick the client from the Client list, or add one on the spot with + New client.
- Give it a Name. Everything else is optional: Objective (optional) (one line on what success looks like), Description (optional), Start date (optional) and Due date (optional).
- For client work, add a Project value (optional) (the full project price, which powers percentage invoicing later) and a SOW number (optional) if the client has its own SOW or PO number. That number prints on every invoice.
- Pick a color, a Type and how it starts in Start as: Draft or Active.
- Optionally name who runs it and who manages the team on it. These two slots use your workspace's own role names (by default Dedicated Expert and Team Manager).
- Select Create project. The project opens straight away.
Project types
| Type | What it means |
|---|---|
| Client work | Billable. Counts in every money total. |
| Pro bono | Given away. Value optional, never invoiced. |
| Internal | Your own work. Kept out of client money. |
Internal projects live on your studio's own board (labelled Internal), so in-house work gets the same tasks, deliverables and timeline as client work without ever touching a client's portal or numbers.
Project statuses
Managers move a project through its life from the actions row on the project page. The main button always names the next step:
- Draft: Activate.
- Submitted or Awaiting review: Review & activate, plus Mark under review to signal you are looking at it.
- Active: Mark complete, with Put on hold beside it.
- On hold: Resume.
- Completed: Reopen project (it returns to Active and the client is notified), Archive project, and Ask for a testimonial (see Testimonials).
- Archived: Unarchive puts the project back exactly where it was before you archived it.
The project page
The header shows the project name, status, the people slots, the objective, Start, Due and Created dates, the project value, and a progress ring. Progress is deliverable-aware: a task halfway through its deliverables lifts the ring even before the task itself is done.
Below the header, tabs appear only when they have something to show:
| Tab | What you find there |
|---|---|
| Overview | The delivery schedule, the description and a deadline timeline. |
| Tasks | Every task on the project, grouped by internal status so you see where work really is. |
| Timeline and Calendar | Two views of the same dates. They appear once something on the project is dated. |
| Money | Project value, change orders and the SOW. See Project value and SOW. |
| Files | Files across the project. See The Library. |
From the actions row you can also Edit the project, Attach tasks that already exist, or create a New task directly inside it. Owners and admins can delete a project; its tasks stay put and simply lose their project link.
The Projects hub
Projects in the dock lists everything you can see. Use Search projects, the status pills (All, Active, Draft, On hold, Completed, Archived), a client filter and a sort (Newest first, Recently updated, Name, Client, Status, Next deadline).
- Grouped shows one collapsible section per client. All projects shows one flat list, with the client named on every row.
- Cards and Compact switch the row density.
- Collapse all and Expand all fold every client group at once.
