Invoices.

Build client invoices from a project’s value in a few clicks, send them, email the PDF, and track every one from draft to paid in Billing → Invoices.

Client invoices live in Billing → Invoices. You can start one from there, from a client’s billing page, or straight from a project’s Money tab, where the builder already knows the client, the project and what is left to bill.

Create an invoice

  1. Choose New invoice (in Billing → Invoices, or on the project’s Money tab).
  2. Check the Invoice number. UpRush suggests the next one from your numbering settings; you can change it.
  3. Pick the Client and the Currency. The client’s billing details pre-fill currency and default terms when they are set.
  4. Link a Project if this invoice bills one. You can also fill Project name and Installment (for example “Deposit”) to label the invoice.
  5. Add line items with Add line: description, quantity and unit price. Or use the quick bill buttons below.
  6. Optionally set a Tax rate % and Tax label (VAT, GST…), and a Discount as a fixed amount.
  7. Choose Payment terms, the Issue date and the Due date. Set the due date yourself; it is what decides when an invoice turns overdue.
  8. Add Notes if you like, then choose Create draft.

Quick bill buttons

With a project selected, the Bill: row turns the project’s current value into line items for you:

  • 100%, 50% and 25% add that share of the project value as a line.
  • Custom % opens a field to bill any other share.
  • Remaining adds everything still unbilled on the project, itemized: the base and any unbilled approved change orders.
  • Bill CO: pills add a single approved change order (see Change orders).

Under the buttons, a hint such as “Invoiced so far: $12,000.00 of $30,000.00 (40%)” keeps you from double billing. The buttons are disabled until the project has a value, or when the project’s value is in a different currency from the invoice.

Payment terms offers No terms, Due on receipt, Net 7, Net 15, Net 30, Net 45, Net 60 or a custom wording. The terms are printed on the invoice; the due date is the date you pick.

Send it

A draft is private to your team. Sending is a deliberate two-step so you stay in control of what reaches the client’s inbox.

  1. Open the draft and choose Send.
  2. Confirm with Mark as sent. This marks the invoice sent and starts the receivable clock. It does not email anything yet.
  3. UpRush asks Email it to the client now?. Choose Email invoice to send the PDF, or Not now to email it later with the Email button.

The email dialog attaches the invoice PDF and lets you confirm Send to and CC addresses, with one-click suggestions; the client’s extra billing emails ride along as CC. Choose Send email. Once sent, the invoice also appears on the client’s portal Money page. Clients never see drafts or void invoices.

Invoice statuses

DraftBeing written. Fully editable, invisible to the client.
SentIssued to the client and waiting for payment.
Partly paidSome money recorded, a balance still due.
OverdueSent or partly paid, past its due date, with a balance still open.
PaidPayments cover the full total.
VoidCancelled. The record is kept but marked uncollectable.

Overdue is not something you set. UpRush shows it automatically once the due date passes with money still owed, and drops it the moment the invoice is paid.

The invoice list

Billing → Invoices opens on Open (everything not yet settled). Filter by Overdue, Draft, Sent, Partly paid, Paid, Void or All, and by client. Select several sent invoices to act on them together:

  • Record payment logs one payment per invoice in a single dialog.
  • Email invoices sends one email with every PDF attached. All selected invoices must belong to the same client and share a currency.
  • Create in QuickBooks pushes the selection when QuickBooks is connected.

Numbering

Owners, Admins and Finance set numbering in Settings → Billing: an Invoice prefix (default IN) and a Number format, either yearly (IN_2026_0001, restarting each year) or continuous (IN-0001). Invoice numbers must be unique in the workspace. The look of the PDF is covered in Invoice design.
