Roles and seats.
The eight workspace roles, what each one sees and does, how roles stack on one person, and which roles use a management seat.
Every member of a workspace holds one or more roles. Roles decide what a person sees in the dock, which pages open for them, and which data they can read or change. Because roles stack, a producer who also handles invoicing can simply hold both roles.
The eight roles
| Role | In short | Seat |
|---|---|---|
| Owner | Full control of the workspace, including members, billing, integrations and other owners and admins. | Management seat |
| Admin | Everything an owner can do, except granting or removing owner and admin roles. | Management seat |
| Team Manager | Runs the work and the crew: boards, tasks, review, production assignments and the Ops and Money hubs. | Management seat |
| Dedicated Expert | Looks after client accounts: their boards, tasks, review and client conversations. Can add clients and invite client users. | Management seat |
| Production Team | Makes the work. Sees only the tasks they are assigned to, quotes on opportunities, and invoices the studio. | Free |
| Finance | Holds the books: billing, invoices, payments, the Money hub, insights and the CRM. Never works inside tasks. | Management seat |
| Sales | Sells and follows what the client pays: the CRM, proposals, contracts, client invoices and change orders. Never sees contractor costs or tasks. | Management seat |
| Client | Uses the client portal for their own organization only. | Free |
Guest reviewers aren’t members at all. They comment through no-login review links and are always free.
What each role sees in the dock

The dock says Board instead of Boards when the workspace has a single client. Read more in Getting around.
Who sees which money
UpRush separates money into two sides, and roles see them differently:
- The client side: a project’s value and SOW, change orders, client invoices and payments. Owners, admins, team managers, finance and sales see it.
- The contractor side: quotes, production assignments, contractor invoices and payment details. Owners, admins, team managers and finance see it. Sales never does.
- The workspace’s own books: billing insights, the workspace billing profile, Billing and Plan & usage in Settings. Owners, admins and finance only.
Several roles on one person
- A person can hold any combination of internal roles. They see the union of what their roles allow.
- The Edit roles dialog in Settings → Members says it plainly: pick every hat someone wears.
- Client can’t be combined with internal roles. A client who wants to run their own studio creates their own workspace instead.
- A workspace always keeps at least one owner. UpRush won’t let you remove the owner role from the last owner.
Management seats
A management seat is a person holding owner, admin, team manager, finance, sales or expert roles. Roles stack free on one seat: someone who is a Team Manager, Finance and Sales at once still uses one seat. Production members and clients are always free.
You can see your seat count in two places: next to the Management seats group in Settings → Members, and on the Plan & usage page. Each management seat also adds to your workspace’s pooled storage. See Plan and usage.
Narrowing a role
By default every managing role sees the whole workspace. Owners and admins can narrow three roles: Dedicated Experts to their assigned clients, Team Managers to the projects they hold, and Sales to their own accounts and leads. See Scoping switches.
Renaming roles
Call the roles whatever your studio calls them. Team Manager, Dedicated Expert, Production Team, Finance and Sales can be renamed in Settings → Members under Role names (up to 24 characters). Owner, Admin and Client keep their names. See Members and role names.
